6 Cool Apps Every Event Planner Should Download

It can be argued that smartphones are the greatest invention since sliced bread, especially for the event planning community. What’s better than having the internet and over two million apps right at your finger tips? However, venturing down the app store rabbit hole can be a daunting task. With more options becoming readily available every day, it’s hard to know which applications will fly and which ones will flop. That’s why we’ve scoured the internet and tested tons of apps (maybe not all) to create a shortlist of our favourite applications that meet the crazy demands of an event planner’s life. So without further adieu…

Here are 6 cool apps every event planner should download:

1.    Ummo

With year-end events around the corner, it’s time to start practicing those speeches. We all know from experience that a poorly planned presentation can be pretty disastrous…especially when the entire office is standing by. Ummo is a virtual public speaking coach that analyzes your speech for pace, word power, clarity, and fillers like “um”, “ahh”, “like” and “you know”. Record your speech and track your words per minute to ensure you are keeping a good pace. At the end of your speech, Ummo gives you a score based on clarity and use of filler words so you can perfect your presentation.

2.    Thumbly Keyboard

As event planners, we understand that you usually have your fingers in many pies (so to speak). That’s why it helps to be able to free up an extra hand whenever you can. Even though smartphones are bigger than our pockets these days, it can still be more of hassle than convenience to reply to emails, texts, or notifications. Enter Thumbly Keyboard – an app that makes one-handed texting quick and easy. The app reconfigures your phone’s keyboard with fast, gesture-based controls on one side of the screen that allow you to navigate, type, autocorrect and emoji with just one thumb, freeing up your other hand. This takes multitasking to another level! Just to clarify…this does not make texting and driving any safer (or legal!) so please use responsibly.

3.    TripCase

Whether you’re travelling for business or pleasure, it’s important to keep your ducks in a row – and by ducks we mean flight information, hotel reservations, itineraries, meetings etc. TripCase is a great tool for the event planner who is always on the go. Manage all your travel information in one place and share your schedules with friends, coworkers, or event attendees. The app even notifies you about flight delays or other changes that affect your itinerary so you never miss a beat.

4.    Zoom

It is not uncommon for event planners to be working in large teams with members based throughout multiple cities. In those cases, it can be difficult to keeping everyone on the same page with all the details that go into planning a successful, large-scale event. Conference calls and emails can become frustrating and unorganized when several people are involved. Zoom changes the virtual meeting game. With HD video conferencing capabilities and recording features, Zoom is one of the top video meeting apps available. Users also have the ability to screen share from desktop or mobile, choose full screen or gallery views for video streams, brainstorm on a collaborative whiteboard and send messages, images, and files all from within the app.

5.    Scanner Pro

Receipts, invoices, contracts, itineraries, budgets, menus, checklists, legal records…the list of documents an event planner manages goes on and on! Organizing and transporting this endless paper trail can be a headache and sometimes the documents are not available electronically. That’s where Scanner Pro comes in – for all those old school, hard copy, “print only” reports that risk getting coffee stained or accidentally trashed when being carried around all day. The app uses the camera on your smartphone to scan and digitally save any paper document. It detects the boarders, corrects distortion and saves your files as PDFs that can then be shared, emailed, or uploaded into various applications. Never carry hard copies again!

6.   Pro Party Planner

From seating layout to task delegation, this multipurpose app covers all your event planning bases. An augmented reality feature allows users to visualize virtual seating arrangements in any space by showing virtual images of furniture integrated into the room of their choice. The app also allows users to send emails directly to their guests through the platform and manage the RSVP list. If that’s not enough, Pro Party Planner even manages the little things like delegating specific tasks to team members, controlling the budget leading up to the event, and creating shopping lists organized by store.
